Jestico + Whiles Streamlines Project Intelligence with a Centralised Database System

Jestico + Whiles adopts Project Flow to centralise project data, improve consistency and strengthen collaboration across the practice.

The Challenge

Jestico + Whiles uses Milient's Project Flow, previously known as Rapport3.

In 2008, Jestico + Whiles recognised the need for a robust project database that could connect projects and people across the business. Without a centralised system, data was fragmented and unreliable, making it difficult to derive meaningful intelligence.

“One of the biggest issues for us when we first began looking for a project management system was that we didn’t have a project database that included all project information and contact details”, explains Darren Carroll, IT Manager. “Although we did have a contacts database delivered through our intranet, users were still maintaining their own discreet data in Excel and Outlook on their computers.”

This approach made it challenging to maintain accurate contact information and prevented valuable connections between projects, people, and business intelligence. A centralised system was required — one that could consolidate data, improve quality assurance, and create meaningful relational insights across the practice.

Choosing Milient

During their search, the team evaluated several systems. Milient’s Project Flow stood out for its usability and migration capabilities.

“The usability of the user interface especially stood out as being intuitive and well thought out”, remembers Darren, “but there were a number of other benefits that made Project Flow the right choice for us, one of which was the ease with which we could get our data into the system”.

With existing project and contact data stored in various formats across the business, a smooth migration process was critical. Milient supported the full cleansing and import process, ensuring the system delivered immediate value.

“We could hit the ground running, and that was a quick win for us”, says Darren. “Another plus associated with Project Flow was the OpenAsset integration module, which allowed us to integrate our existing OpenAsset digital asset management system with Project Flow”.

Benefits of Milient

OpenAsset was already widely used by the practice, so seamless connection was key. Project Flow’s integration module enabled users to manage all project information centrally, automatically generating and maintaining updates in OpenAsset.

Newforma was then introduced as the firm’s document control and information system, and the direct integration with Project Flow allowed project data to pass between the two without duplication.

“The integration modules mean that all of our project and contact information resides and is managed in Project Flow, and is then synchronised with OpenAsset and Newforma”, explains Darren. “This is of huge benefit to us. It gives us seamless integration, eradicates the traditional issues around data duplication and provides us with really consistent information.”

The result is a ‘best of breed’ solution: Project Flow as the central management hub, with specialist systems connected to support accounting, documentation, and digital asset management — all through one intuitive platform.

Integration and Support

After 17 years of use, Project Flow has evolved significantly — something Jestico + Whiles value greatly.

“There’s a huge amount of functionality in the product now that wasn’t in place when we took it on board. It constantly addresses problems as they arise and is still excellent at managing all of our project and contact information. The project financials feature they’ve added is particularly good – it integrates with our accounting systems, and we can get some very good cost reporting on our business,” enthuses Darren.

The team has also been impressed by Milient’s customer support and responsiveness to evolving needs.

“Milient are very good at taking on board the development requests we throw at them, improving the product and considering user needs”, says Darren. “We’ve found them to be an organisation we can work with, and that supports their product well, and I’ve recommended Project Flow quite a few times since it was implemented. After all, we’ve stuck with them for 17 years – they must be doing something right!”
