Sybarite Gains Deeper Project Insight and Scalable Control Through Unified Practice Management
The Challenge
Sybarite uses Milient's Project Flow, previously known as Rapport3.
In 2023, Sybarite began looking to replace their existing system with a more intuitive, user-friendly solution that could better support project and resource management. While their previous software produced visually appealing outputs, it lacked the logical structure and reporting depth needed to support informed decision-making.
As Natasha Manzaroli, Chief Operating Officer, explains: "I think it is a pretty tool that gives you some attractive-looking reports, but its functionality is not logical."
Sybarite needed a system that allowed them to access meaningful data quickly, with reporting robust enough to support financial and operational decisions across the business.
Choosing Milient
When evaluating alternatives, reporting strength and integration were key factors in Sybarite’s decision-making.
Natasha notes: “It is pretty, but the data and reporting aren’t as strong as Project Flow. In comparison, everything in Project Flow is integrated, so you have a clear understanding of what you’re looking at when reviewing and making business decisions.”
Beyond reporting, Sybarite wanted a scalable platform that could evolve alongside their business and reflect the realities of working within the AEC sector.
“We wanted a scalable product that would fit our business and cover all elements of the company...What I like about Project Flow is that you work across the AEC industry and with us to develop the technology.”

From the outset, Sybarite experienced a highly tailored implementation process focused on aligning the system with their specific workflows and departmental needs.
Natasha explains: “Milient carefully selected which project manager would be the best fit to help get the most out of the software and customise it to our specific needs. It was clear our project manager had extensive experience and worked heavily with the software. They knew exactly what we were looking for and came in with solutions and recommendations that met our business needs.”
Ensuring value across the entire business, not just leadership, was a core objective.
“Our project manager discussed with me the overarching needs of the business and the requirements of each department, which ensured we had the most appropriate system configuration for the business.”
The transition itself was smooth and collaborative.
“We had a brilliant project manager in Joanna, supported fabulously by one of Project Flow’s consultants, Isaac. The implementation process felt seamless; we worked very well together to deliver a solid business platform.”
Benefits of Milient
With Project Flow in place, Sybarite began to see improved engagement and visibility across project teams quickly.
Natasha shares: "In terms of project management, the architects are engaging with it. They haven’t been able to see real-time labour costs against fees with our previous product, but I think they’re finding it quite informative. Project Flow for architects is far more intuitive, and they’re seeing and experiencing that benefit.”
Sybarite has also benefited from integrating Project Flow with Microsoft Power BI to unlock deeper insight.
“The Power BI integration has been very helpful. The team have really engaged with it, and they’ve learned how to use it to help themselves a little more and gather further insights.”
Integration and Support
Ongoing support and training have been central to Sybarite’s positive experience.
When asked about working with the team, Natasha commented: “It’s been brilliant. The Project Flow team is responsive, familiar and collaborative.”
Training ensured rapid adoption across the business:
“Everybody benefited greatly from the training as they quickly grasped the product. We also knew that if anyone needed help afterwards, they would have been hand-held through the process by the Project Flow team.”

Natasha explains: “Project Flow is clearly designed for the AEC industry, so it can be tailored to your specific needs. It is developed with clients in mind. We want to be a partner to ensure that it continues to be the best product for the industry.”
Final Thoughts
“The software is intuitive, a hub that you can bolt on so many different things to, and it will hopefully continue to develop and improve. That’s what I’m hoping. I’ve already seen improvements, but I want to continue to see them. As long as it continues to be developed to move with our business needs, I’ll be perfectly happy!”
